The Administrative Assistant will provide essential support to JT Tutors by managing scheduling, client communication, and day-to-day administrative tasks. This role ensures smooth operations, allowing tutors to focus on delivering high-quality education.


Requirements

  • Strong organizational and multitasking skills.
  • Excellent communication (written and verbal).
  • Proficiency in Microsoft Office / Google Workspace.
  • Comfortable with scheduling software or CRM tools.
  • Attention to detail and ability to work independently.
  • Prior experience in administration, customer service, or education support is advantageous.

Responsibilities

  • Scheduling & Coordination
    • Manage tutor and student timetables, ensuring accurate bookings and updates.
    • Handle cancellations, rescheduling, and reminders.
  • Client Communication
    • Serve as the first point of contact for parents and students.
    • Respond to inquiries via phone, email, or messaging platforms.
    • Assist with onboarding new clients and explaining services/packages.
  • Administrative Support
    • Maintain student records, progress reports, and attendance logs.
    • Prepare invoices, track payments, and support basic bookkeeping.
    • Organize digital files and ensure confidentiality of student information.
  • Operational Assistance
    • Support marketing efforts by posting updates or assisting with social media scheduling.
    • Provide logistical support for workshops, events, or online sessions.
    • Assist with tutor onboarding and documentation.
